Special Event Application

Applications must be submitted within one sitting, as they cannot be saved. Please review the application and all required file uploads prior to starting the application. 

All applications will undergo a non-refundable $30 cost payable by cash or check to City of Gastonia, or an online payment link that will be sent upon receiving the online special event application.

After the application and fee has been received, the application will be sent to various departmental staff for approvals. When all approvals have been received, any remaining applicable fees will be invoiced to the applicant.

What type of event are you having?

The permitting of a carnival or fair may require Gastonia City Council approval. 

Please obtain written approval of the property owner on which you are having the carnival/fair.

The event may require off duty police officers. 

Please reach out to the City Event Planner for additional information.

Will you need access to water hydrants?

If yes, the City Event Planner will be in touch with the hydrant meter application and fee information.

Renting the Rotary Pavilion-

- Only the pavilion and the space directly around the pavilion are included with the rental

- Access to power and restrooms will be included in your rental

- Power is turned on and restrooms open an hour and a half prior to your event start time. If you need power on and restrooms open sooner than that time, please let the City Event Planner know as soon as possible to try to accomodate your request.

- If you are having food trucks, they need to be parked in the semi-circle turnaround areas of the Rotary Pavilion. Food trucks must use their generators.

- No on-site cooking or grilling is allowed at the Rotary Pavilion. 

- No decorations or items may be adhered to or nailed to the pavilion.

- The Rotary Pavilion is part of the social district. Please contact the City Event Planner for information regarding the social district and alcohol at your event.

Rotary Pavilion fees-

- Government/Non-Profit/City Resident Rate: $200

- Commercial/Non-City Resident Rate: $400

- Trash Deposit: $100 (refundable fee provided that all trash is properly disposed in the dumpsters at the end of your event.) 

- If you are planning on having power turned on at the pavilion and would like a staff member to be at the event for the entire duration of the event in case of any electric or power issues that may arise so that they can be fixed promptly, the staff fee is $30 per hour per staff member. 

- If you are having a private event at the Rotary Pavilion, the City of Gastonia recommends hiring an off -duty police officer through the City of Gastonia Police Department for added security at the event. Please contact the Gastonia Police Department for more information. 

Street Closure Information- 

- After this application is submitted and received, the City Event Planner will send a street closure signature document. This document includes the street closure information, such as the streets closed, times and dates of the closure. 

- The applicant must obtain the signature of each homeowner or businessowner that the street closure affects. 

- The Police Department recommends using personal vehicles to block roads instead of barricades. If you need barricades, please put the request on the application. If you are using personal vehicles, the owners of those vehicles must be at the event in order to quickly move their vehicles if needed in the case of any emergencies.

Please fill out a Temporary Food Establishment- Event Organizer application through Gaston County and email envhealth@gastongov.com a complete list of all food trucks and food booths. 

Please reach out to the Environmental Health Department to determine if any of your food vendors will need to fill out TFE permits. If a food vendor is not already permitted, they may have to pay a fee to Gaston County.

No grilling is allowed at the Rotary Pavilion other than in food trucks.

If your event will have amplified sound, please fill out the Noise Permit Application, found on the City's website. The application fee is $5 if done at least 48 hours in advance of the event, or $25 if done within 48 hours of the event. Please direct any questions regarding the Noise Permit Application to the Gastonia Police Department, where the completed permit will be submitted.

Mechanical rides will need to be inspected/permitted through NC Department of Labor.

If your event has fireworks, additional permitting and staffing will be required through the Gastonia Fire Department.

Site maps may be hand drawn or created online (Word, PowerPoint, etc.) and uploaded.

Site maps should show event area, any streets and/or parking lots that will be closed if applicable, vendor and/or food trucks, tents, rides, inflatables, etc. 

Screenshots of the facility without drawn shapes will not be accepted.
